How to Mail Merge from QuickBooks Online
Your customers are in QuickBooks. Your letter template is in Word. And QuickBooks Online has no mail merge button. Go ahead and look, it’s not there.
That leaves you two options: the manual way, which is free and takes about half an hour every time you do it, and the connected way, which takes about five minutes total. This tutorial covers both, honestly, so you can pick the one that fits how often you send letters.
Way 1: Export your customers from QuickBooks
The manual way starts with getting your data out.
- In QuickBooks Online, go to Sales → Customers.
- Above the customer list, find the export icon (the box with an arrow). One click exports the whole list to Excel.
- Check your downloads folder for the file.
If you need invoice amounts instead of just balances, run a report (like Open Invoices) and export that the same way. Same icon, same idea.
The cleanup nobody warns you about
Open that export and be honest about what you’re looking at:
- There’s a title block where your headers should be.
- The customer’s full name is jammed into one column, so you can’t write “Dear Maria”; you’d be writing “Dear Maria Alvarez, Alvarez Landscaping.”
- The balance column is formatted as text on some rows.
This is normal. This is every QuickBooks export. So you fix it:
- Delete the title rows so the headers are row one.
- Split the name: Data → Text to Columns, split on the space, and now you have a FirstName column.
- Select the balance column and format it as Number.
- Rename the headers to something sane.
Budget a few minutes for this. And here’s the part to sit with: the export doesn’t remember any of it. Next month, when the balances have changed, you export again, and do the cleanup again. Every single time.
Merge it in Word
From here it’s a standard Excel-to-Word merge (our Excel to Word tutorial covers it step by step, including the currency formatting fix). The fast version:
- Mailings tab → Select Recipients → Use an Existing List, and point it at the cleaned file.
- Insert merge fields for the name and the amount.
- Preview Results to check real customers and balances.
- Finish & Merge → Edit Individual Documents: one letter per customer.
The honest scorecard
The manual way is totally free and genuinely works. Budget about thirty minutes, and treat the cleanup as a tax you pay on every run. One more catch: your letters are only as fresh as the export. If a customer pays you this afternoon, this morning’s letters don’t know that.
Honest advice: if you send letters once a year, do exactly what’s described above. You’re done, and it costs nothing. If you do this every month (statement runs, past-due reminders), the next section eliminates everything you just read.
Way 2: Connect QuickBooks once
